There is the option to access two different portatour® Reports in user management:
- User > Request portatour® Report for user group or Request portatour® Report for organization provides an overview of the entire team with the portatour® Report for the user group or for the entire organization. Supervisors only have access to the users who are members of their user group.
- User > click on the user > Request portatour® Report for user creates the individual user report.
The company or user group report shows an overview of the team. It is a starting point for further analyses, such as the individual portatour® Report for each user. It consists of two parts:
- portatour® Report
- The same statistics as in the user report are evaluated (see Description of the content).
- However, the values are totaled or calculated as average values.
- User-specific sections (e.g. the current schedule) are not included.
- Application check
- Intensity of usage as table provides an overview of the use of portatour® in your team (for information on the individual colors, see Request portatour® Report organization-wide or for user groups).
- portatour® checks up to 35 criteria for all users (see Application check).
For further information, see Request portatour® Report organization-wide or for user groups.
In the individual portatour® Report for each user, the following information could be of interest to you and your supervisors:
- Schedule: What is currently planned?
- Call reports: the customers who were visited in the last 7 days. Pay particular attention here to the columns under Scheduling status and urgency. They show, for example, whether the visited customers were included in the schedule optimized by portatour®.
- My key figures of last 90 days: You see how many visits the respective user manages on average per weekday or per day.
- Currently overdue customers: If there are overdue customers (= red on the map), they are displayed in a list. If portatour® recognizes a reason why the customer cannot be scheduled automatically, this is shown in the Info column. Otherwise, the reasons must be investigated together with the user: Are there reasons not to visit certain customers? Do the working hours match the required number of visits per day?
- Classification of my customers by call interval: Below the table, you will see how many visits per day must be accomplished in order to be able to visit all customers at the correct frequency. Comparing this number with the schedule and with the average number of visits achieved provides information on whether the territory is well sized. One example: If 12 visits per day are necessary, but 8 visits are completed on average, then the settings are not realistic (too many customers in the territory or frequencies that are too high.)
- Application check: The application check provides an overview of the usage and the settings of portatour®.
