To reach the Task List, in the main menu, click Tasks.
Under the heading Open, you will find tasks that still have to be completed, sorted by date. Overdue tasks whose date has already passed are displayed in red at the top.
Click the task to edit, delete or mark it as completed. Click the check mark to the right of the task to complete it.
Optionally, you can create a report when completing tasks. Define this under Options > Reporting > Reports for tasks (see Reporting).This report can also be viewed as 'Other report' on the customer detail page, provided that the task has a customer reference.
Completed tasks can be found in the task list under the heading Completed. After 90 days they will be automatically deleted.
Click the magnifying glass icon to search your task list. The search works in the same way as the customer search - see Quick search of customers, Extended customer search and Saved searches.
To create a new task, click the button New task or New task for customer, depending on whether or not the task refers to a specific customer.
Enter the subject of the task, e.g. 'Create quote', then select the desired date. In the section Information, optional input fields are displayed. They can be edited under Options > Custom Fields (see Custom Fields overview). To finish, click Save.
On the Customer detail page, existing tasks are also displayed. It is also possible to create new tasks for the relevant customer here (see Customer details). You will also find a notice of outstanding tasks in the Schedule via a yellow row at the top. At the top of the day in the Calendar there is a task icon . Click it to see the day's task list (for details, also see Calendar).
To edit the customer reference of a task retroactively, click the task in question and select Edit task. The current customer reference is displayed at the top. Click the pen icon to create, change or remove a customer reference.
Clicking on More leads you to the Import or Export of tasks. The import and export works the same as for appointments or reports, be it via the user interface or via the API (see Import appointments).
Special Tasks Features
Recurring Tasks: When creating a task, it can be created as a series of repeating tasks, e.g. every week on Wednesday. Configuring and editing is done in the same way as with Recurring appointments.
Automatically expiring tasks: If the field Completion of a task is changed from Required to Optional, this task will automatically expire if it has not been completed by the set date. Instead of being displayed as a red overdue task in the task list, it automatically moves to the section Expired and is deleted after 90 days.
Tasks without date: If you set a task to Without date, the task is no longer displayed in the list under Open, but rather in its own section. The task is never overdue and does not expire. It can be completed at any time. If the task has a customer reference, you could, for example, interpret it as 'to be completed at the next visit'.
