Under Manual adjustments > User modifications, you create fictitious user modifications without having to change the real settings of your portatour® users. This makes it possible to recreate scenarios for the territory optimization that involve a potential change, e.g., to the working hours or the home location of one or more field reps. Following examples:
- An employee is planning to move.
- An employee doesn't want to spend overnight stays.
- An employee wants to reduce working hours and only work Monday through Wednesday.
- On Fridays, all field reps should only be on the road until 12pm.
Add new user modification
- Click on Add new user modification.
- Select All users to edit all users, or Selected users to edit one or several users.
- In case of Selected users, check the user(s) you want to edit.
- In case of Selected users, check the user(s) you want to edit.
- Click on Working hours, Share of working hours in the field, Work break, Overnight stay on the way, Maximum overnight stays or Home location to change the appropriate parameter.
- Make the desired change and click Save.
After saving, the Interim result tab appears at the top. The interim result shows the concrete effects of the manual adjustments made on the key figures, shown analogously to the optimization result (see Show optimization result).
Note: The user modifications are also available in the initial situation. Activate this once under Initial situation > Settings: Under User settings > Editable per user select Yes.
Edit a user modification
After having saved a new user modification it is displayed in the form of a table.
Here, you have the following editing options:
- By default, a newly created user modification is activated, i.e. it is taken into account for the interim result and in the territory optimization. If you want to see the result without a specific user modification, but not delete it right away, simply uncheck Activated.
- User selection shows the affected users. Clicking on the pen icon next to a user name allows you to add or remove users. Thus it is not necessary to create a new user modification if you just want to change the users.
- The Number of users column shows the number of users affected. This is interesting when a user modification applies to several users, but not to all of them.
- Under Modification, the affected parameter is displayed. Click on the pen icon to change the edited parameters or add another one to this user modification.
- Create a short Note to understand the user modification at a glance.
- Clicking on the list icon shows only the selected user modification in the preview below.
- By clicking on the arrows , you change the order of the user modifications. A correct sequence is important when users are affected by multiple user modifications of the same parameter (e.g. working hours) (see Order of user modifications below).
- Clicking on the recycle bin icon deletes the user modification.
Order of user modifications
The user modifications take effect in the specified order. A correct order is important if users are affected by several user modifications for the same parameter (e.g. working hours). This means for our example: Shawn Robinson is affected by two user modifications for working hours. There is one individual user modification for him and another one for all users. Shawn Robinson's individual user modification must come after the general one to overwrite it. Thus, his individual settings - working hours only on Mondays to Wednesdays - take effect. In the reverse order, the general modification of working hours - Monday to Thursday all day, Friday until 12 o'clock - would be applied also for him.
