Use custom key figures for territory optimization

You have the option of incorporating key figures that are essential to your strategy into territory optimization. If, for example, you want sales, potential or customer category to be as balanced as possible across all sales representatives or if you want to set individual targets for each sales representative, this is possible using custom key figures.

The custom key figures are based on the data of the custom fields in portatour®, i.e. these fields must already be created (Options > Custom fields) and filled with data via import or manual entry in portatour® in order to be available for territory optimization.

Use custom key figures

There are two steps: First you create the custom key figures in the initial situation, then you define the desired objective in the optimization settings.

Add custom key figures to initial situation

1. In the Initial situation, go to Key figures.
2. Click on Add new key figure.
   
3. Specify which field is to be used and how. Two examples:
   For Sales prior year $, the values of the custom field Sales PY are added up and displayed. For A customers, the filter in this example runs via the extended search with the custom filter 'Category contains A' (after saving; see Extended customer search).
4. Click Save.
5. Click on Update now to include the custom key figures you have created in the initial situation:
   

Apply custom key figures in optimization settings

In the optimization settings, you determine the range in which the key figures of the individual territories should lie after automatic optimization. portatour® thus combines driving time reduction and workload balancing with the key business figures that are important to you.

Proceed as follows, following the examples above:

1. Go to Optimization settings.
2. In the area on the right Custom key figures, click on the pencil icon at Sales prior year $ to create a default for all users.
   
3. Click on Apply.
4. Click on the pencil icon for individual users to define individual settings for each user.
5. Then, under A customers, click on the pencil icon at the top for all users or for those users for whom you want to make settings and enter the restrictions.
   
6. Click on Start optimization to see the effects of your settings on the territory optimization.

Hints on using custom key figures

• You can create up to 10 custom key figures.
• Please note that optimization settings for these key figures limit the scope for optimization. This can lead to more inefficient territories in terms of driving time reduction.
• If no territories can be found for your optimization settings, you will receive territory suggestions where the settings are met as far as possible. Individual key figures that do not meet your specifications are highlighted in red in the results table.
  In this case, we recommend reducing the number of criteria or setting them less restrictively.

Display custom key figures on the map

The custom key figures that you have added to the initial situation (see above Add custom key figures to initial situation) can also be displayed on the map:

• The custom key figures are shown in the customer's info bubble.
• Customers can also be colored on the maps according to custom key figures (see Show customer map for territory optimization).
• In selection mode, you can see the totals of the custom key figures of the selected customers on the maps:
