Sometimes only certain field reps can take care of certain customers. Reasons for this may include, for example, requirements regarding language skills, specialized knowledge, or experience. The Qualifications for territory assignment feature ensures that each customer is assigned to a user who meets all the necessary qualifications.
Proceed as follows:
- Activate and define qualifications organization-wide
- Enter fulfilled qualifications for users
- Enter necessary qualifications with customers
- Perform territory optimization with qualifications
Activate and define qualifications organization-wide
- In the Workspace Organization, open the Options.
- Go to Qualifications for territory assignment.
- Click on Qualifications disabled and select Qualifications enabled.
- Enter up to 20 possible qualifications for your company line by line:
- Click on Save. portatour® automatically creates unique keys when saving. If you want to assign the key for each qualification yourself, proceed in the same way as for defining custom selection and multi-selection fields (see Selection and multi-selection).
Enter fulfilled qualifications for users
- Open the detail page of a user.
- Click on the pencil icon in the section Fulfilled qualifications.
- Select the qualifications met by the user in question. To select multiple items, hold down the Ctrl key.
- Click Save.
Notes:
- Fulfilled qualifications can also be set via mass editing or import. In mass editing, you not only have the option of replacing all qualifications, but you can also add or remove individual qualifications.
- In the workspace organization at Options > Permissions, use the permission Change fulfilled qualifications for territory assignment to specify whether these changes may only be made by administrators or also by supervisors (see Manage permissions).
- To filter the user list for users with specific qualifications, use the filter Fulfilled qualifications in the extended search (see Show user list).
Enter necessary qualifications with customers
- Open the detail page of a customer.
- Click on the pencil in the Necessary qualifications section.
- Select the necessary qualifications. To select multiple items, hold down the Ctrl key.
- Click Save.
Notes:
- Necessary qualifications can also be set via mass editing or import. With mass editing, you not only have the option of replacing all qualifications, but you can also add or remove individual qualifications.

Perform territory optimization with qualifications
Analysis of the initial situation
The column Customers with unfulfilled qualifications shows the amount of customers whose qualifications are not fulfilled by the current user. If all qualifications of all customers are met, the column is initially hidden.
Color: Required qualifications colors the customers on the map according to their necessary qualifications. This allows you to see at a glance in which regions requirements are concentrated.
On the map, use the filter Customers: With unfulfilled qualifications to see only those customers whose qualifications are not fulfilled by the current user:
Start optimization

As usual, click on Start optimization at the top to start the territory optimization. During the optimization process, portatour® only assigns customers to users who meet all the necessary qualifications.
Note: If you have resumed an optimization or loaded a saved optimization in which qualifications were not yet activated, qualifications are not initially taken into account. If necessary, change this at Optimization settings > General and set Qualifications for territory assignment to Consider.
- In the results overview, you can see the reduction in customers with unfulfilled qualifications, if any:
- For further analysis, the same functions are available at Details and Map as in the initial situation.
Simulate scenarios using manual adjustments
If you want to try out different scenarios without having to change the master data, use manual adjustments. This allows you to make specific changes to qualifications required by customers and qualifications fulfilled by users.
