A regular territory optimization is useful e.g. for the following reasons:
- Business goals change.
- Territories grow differently - field reps have different workloads as a result.
- Employees move.
The less manual intervention you make, the greater the scope for optimizing by portatour®. Follow these steps:
- Go to the Workspace Organization or the workspace of the desired user group to apply the territory optimization to the correct user group or to the entire company. The workspace bar on top shows Workspace Organization or Workspace X.
- Click Territory optimization in the navigation bar.
- Select
- Continue last optimization to resume a last cancelled optimization,
- Start new optimization to start a new optimization with default settings, or
-
Saved optimizations to access a previously saved optimization.
- Go through the Analysis of the Initial situation. Exclude users, edit settings or perform customer exclusions if necessary (see Analyze initial situation).
- Optional: At Manual adjustments, it is possible to simulate different scenarios, fix customers at the current user or assign them to a selected user (for details, see Add and edit user modifications, Add and edit customer modifications and How do I fix customer assignments?).
- Optional: Optimization settings
- Per territory: By default, the number of customers that may be handed off or taken over, as well as the number of customers and the workload, are unlimited. portatour® has full scope for optimization. Make adjustments if necessary. For details, see How do I specify how many customers should be handed off or taken over?, Specify the desired customer count per territory and Adjust maximum workload per territory.
- General: By default, no grouping of the customer assignment is stored, see How do I take into account a grouping of customers?. Qualifications are taken into account by default in territory optimization (see Specify qualifications for territory assignment).
- Click on Start optimization to start the territory optimization. You will see an overview of the calculated optimization scenarios. Compare the proposals and select the most suitable variant for your situation (see Show optimization result).
- Clicking on Application shows under Preview per user as a table or on the map which customers have moved from which source user to which target user. Click on Export to export the result, or on Apply result to apply it directly in portatour®. For all details see Apply optimization result.
Notes:
- It is possible to interrupt the territory optimization at any time, e.g. to make adjustments in the options. Afterwards, simply go back to Territory optimization, select Continue last optimization and click on Refresh on the Initial situation page to include the current data.
