If you need a documentation of your working day, you will find a chronological list of all reports you have entered in portatour® by going to the menu item Reports. Here you can check if all details have been entered and edit reports if necessary.
Click a row in order to open the respective customer, show all the reports of the customer or edit the report. Clicking on opens the respective function in a separate browser tab.
Click the magnifying glass icon at the top to search your reports. The search works the same way as the customer search - see Quick search of customers, Extended customer search and Saved searches.
If you want to use the report system of portatour® also for the recording of working hours, click Enter working time at the top and then select Start of work or End of work. Record days without calls (e.g. vacation, illness, training, ...) by clicking Day off. Protocolled entries also appear in the portatour® Report.
portatour® also allows the recording of call reports for appointments at manually entered addresses, i.e. without reference to a customer or to My Places. A click on Took Place on the appointment detail page is sufficient to prompt the creation of a call report.
If you want to create a report without customer reference, click on New other report at the top and enter your notes.
By clicking More you can access the Calendar or you can request the portatour® Report (see Request Report), Import reports (see also Import appointments) and Export the list of reports.
Either export all reports (selection Complete) or select Limited and enter a period in order to export only reports of this period. This reduces the file size and speeds up the process.
Deletion of reports through mass editing
If you want to delete several reports in one step, e.g. to remove very old reports, proceed as follows:
- Click Search at the top and select Extended. Perform an advanced search (analogous to Extended customer search).
- Scroll to the bottom and check the reports list to see if the filtering is correct.
- Click on Delete all X.
- After a confirmation prompt, the reports will be deleted.
If you do not want to use the extended search and prefer to manually select individual reports to be deleted:
- Scroll to the bottom and select Enable selection (see also Selection mode and mass editing).
- Tick the desired reports.
- Scroll to the bottom and click Delete selected.
- After a confirmation prompt, the reports will be deleted.
Show and edit all reports of a customer
- Open the customer detail page of the relevant customer (e.g. Customers > Click on customer name).
- In section Last report, click on Show all... The most recent entry is shown at the top:
- Click the pen symbol to the right of the activity to edit it.
