Customer Business Hours are the times of the day you can visit the customer for a call.
If the customer has business hours different from the default settings, deactivate the checkbox Default. Thus, the drop-down menus for each week day are enabled for manual input. On days off – e.g. Saturday or Sunday – leave the array blank. To return to default business hours, re-activate the checkbox Default.
If a customer has two business hour sessions on the same day – e.g. mornings from 10-12 and evenings from 14-17 o'clock – enter both intervals in the respective arrays.
portatour® automatically cares that the start of a call is within the business hours provided. The end of the call can endure beyond business hours. Therefore, it is possible to enter a business hour time frame that is shorter than the call duration entered. If, for example, a customer can only accept your call if you arrive prior to 9 o'clock, you can enter 08:55-09:00 as business hours, despite the expected call duration being one hour.
You can arrange an appointment with the customer outside of business hours anytime by creating an appointment for the call (see section Create Appointment).
Hint: The business hours are saved in your current Salesforce time zone. By changing the time zone, the saved business hours of the customer shift accordingly.
Preferred calling times
If you prefer visiting the customer on certain days or at certain times, click on Preferred Business Hours. A checkbox appears next to the business hours area, mark the preferred times with it.
Preferred openings cause portatour® to preferably schedule the customer within this time frame. Beware that under certain circumstances this may cause slightly longer travel times. In case the detour is too long or the customer is not available within the preferred business hours due to conflicting appointments, portatour® will fall back to the non-preferred business hours.
In terms of travel optimization we recommend to deal economically with the preferred call timestamps and use them only for important reasons. If you want to use preferred business hours for a customer then you better highlight several time frames rather than just one.
