If there is a change of field reps for several customers, update the customer data in transfer mode to make the knowledge about the customers directly available to the new field rep.
Follow these steps for the import:
- In the Workspace Organization, go to Options > Import data and select Customers.
- Select the desired import mode: Update customers or Update customers incl. deletion (see Choose import mode).
- On the Choose transfer mode page, select under Transfer mode:
- Move if customers are to be moved to the target user, if necessary, or
- Copy if customers are only to be copied, if necessary, i.e. are also to be retained by the source user.
- Check Include appointments, Include tasks, Include reports and Include call blocks to transfer all associated data. This way, past as well as future information about the customer is available to the target user.
- Click Next. Follow the further steps as usual, see Upload file and Import data for multiple users at once.
Further notes on automatic transfer during customer import:
- The transfer function is only available if user has authorization to transfer under Options > Permissions, see Manage permissions.
- Only External ID, Portatour ID, or both are allowed as key fields (see Key fields (IDs)). The transfer is not available if you use other fields as key.
