In the Workspace Organization, click Options at the top of the main menu, to open the organization options.
User defaults and call defaults
The settings under User defaults and Call defaults form the basis in portatour® for the creation of route plans and the analysis and optimization of territories. The parameters Working hours, Work break, and Overnight stay, as well as Scheduling parameters of customers, Business hours of customers, and Reporting are defined here according to the practice from your sales organization.
The configuration of these parameters is structured hierarchically. There are three levels:
- Your organization options are at the top level and apply as organization-wide default values for all users. These are first initialized with portatour® factory settings. As an administrator, you customize the organization-wide settings according to your business requirements. You will see the note You are changing organization defaults in the respective pop-up window.
Here is an example:
- Users themselves can select other values in their own options in their workspace if required and thus overwrite the organization-wide settings. The combination of organization-wide settings and customized user settings specifies the default values for all customers that are assigned to a user.
- At the lowest level are individual call parameters of each customer in portatour®. The call parameters can be changed again individually on the respective customer detail page (see Edit scheduling parameters).
Organization
At Organization, you will find the following functions:
- User management takes you, like the main menu item Users, to the user list (see Show user list).
- Use Request report to load the organization-wide portatour® Report (see Request portatour® Report organization-wide or for user groups).
- In Program settings, you adjust the display of portatour® (see Organization-wide program settings).
Security
Use the functions in the section Security to restrict access rights and ensure that data can only be changed or deleted by authorized persons.
- Permissions define from which authorization level various functions are accessible in portatour® (see Manage permissions).
- If you have stricter company guidelines regarding passwords, then define these at Password policy (see Set password policy ).
- User groups are available from 10 users. They enable restrictions on access rights for supervisors (see Activate and deactivate user groups).
- At IP-based access restrictions, you have the option of entering specific IP addresses or IP ranges to allow access to portatour® only from these addresses (see Set IP-based access restrictions ).
Interfaces
portatour® offers various interfaces and functions for automated import and export as well as for data analysis.
- Do you want to analyze your field reps' customer and visit data in Excel or another Business Intelligence (BI) system? By using the OData feed, portatour® provides an easy way to import and subscribe to all data in Excel. Click on Excel Data Analysis for more information and the setup steps.
- If your customer data is managed in any CRM/ERP system or in a mobile field service app, use the import/export and automation functions of the portatour® API. You can find the manual for developers at API.
Data management
In the section Data management you will find all the functions relating to your data in portatour®: import, export, restoration, custom fields.
- Create additional fields at Custom fields to adapt the customer detail page or the call reports to your company's requirements (see Custom fields overview and Create dynamic fields for call reports ).
- If you have users that use portatour® in different languages in your portatour® company account, then translate custom fields and saved searches under Translations (see also our blog article Translate custom fields and saved searches into other languages).
- Click on Import data to manually import data for your users (see Import data for multiple users at once).
- To speed up further import processes, the Import configuration is helpful (see Download and use import configuration).
- Export data allows you to export your data as an Excel or CSV file (see Export data).
- portatour® automatically creates backups of your complete data base each time when an action affecting a greater number of records is performed. Additionally, an automatic backup is saved each day, if you have used portatour® on the respective day. If you now notice that you have made a mistake, use the option Restore (see Restore).
