The limit helps to keep the response times of the portatour® app fast and the server load manageable. It cannot be changed.
Follow these steps to clean up the call reports:
- Go to Reports > More > Export or click on Export in the warning message to archive your own call reports or as administrator the call reports of a user.
- In the warning message: If you want to keep more than at least one report per customer, select the desired number at Keep.
- Click on Cleanup now to start the deletion of call reports.
portatour® cleans up the reports in an intelligent manner. The latest customer history is retained in portatour® so that field reps can revisit it:
- 50% of the call reports will be retained. Depending on the number of reports and their age, only reports that are older than a certain cutoff date are deleted. You will see the cutoff date in the cleanup message.
- However, at least the most recent call report is kept for each customer. If, for example, the last visit took place before the above-mentioned cutoff date, the call report will still be kept.
