In the main menu, click on Users > More and select Import to import user data from an Excel, CSV or ODS file. Alternatively, open the organization-wide Options in the menu and then click on Import data > Users in the Data management section.

As with customer import, the column names in the Excel file may be different from the field names in portatour®:
The procedure is similar to the customer import (see Start customer import). Finish the field mapping, check the import preview and then start the import:
Tips for importing users:
- When creating users, First name, Last name and Email address are mandatory fields. The email address is used to send the activation link. For update imports, use the email address or employee number, if available, as key field.
- Import the respective authorization level of the user: 0 = user, 1 = supervisor, 2 = administrator. For details on the authorization levels see Show user list. If you leave the field empty or if no mapping is made, user is assumed.
- Use the import to determine which users require their own schedule, i.e. are active in the field sales force, see Show user list. If you leave the field empty or enter no mapping, Yes will be assumed.
- The affiliation to user groups (available from 10 users) can also be imported (for information on manual assignment to user groups see Assign a user to a user group). In the example image above, Emma Miller is a supervisor in the North group and only works in the office.
Set default values for the entire team in the organization options. If the options are different for each user, it is also possible to import these. These include: Working hours, work break, driving speed, default scheduling parameters of the user's customers, default business hours of the user's customers, and overnight stay, for example:
Empty fields adopt the default settings from the organization options.
Notes:
- Export the user list at Options > Export data > Users to obtain a template for the import.
- New user accounts are activated by default - i.e. provided with user name and access link. However, users will only receive their access link via email or SMS when you send the respective access link by clicking on Send access link in the user list (see Show user list).
- If you set the Has own schedule field for an existing user to No, the data (customers, appointments, reports, ...) of this user account will be deleted. If necessary, use a restore point (see Restore).
- For security reasons, the mass deletion of user accounts is not possible via import. Instead, user accounts are deactivated (import mode "Update users incl. removal of login options"). Deactivated user accounts should therefore be manually deleted from time to time after transferring or downloading the data contained therein in order to avoid exceeding the licenses.
