Under the option Scheduling parameters, you edit the default scheduling parameters of your customers. The settings entered here will be applied to all customers for which you have not explicitly provided differing parameters on their customer detail page - see Edit scheduling parameters. The editing is done analogously. Select the default values of your company by clicking on Organization default in the selection box. A click on Save applies the changes.
Follow-up calls due after
In addition to the scheduling parameters on the customer detail page, there is the Follow-up calls due after setting. Enter the minimum duration of a call interval that must have elapsed to determine when portatour® can schedule the next call with this customer, when a customer is due for a call.
70% means that a customer with a preferred call interval of 30 days will be taken into consideration by portatour® only 21 days after the last call at the earliest.
Select one of the percentages proposed or select Custom... to manually enter a number between 0% and 100%.
We recommend a value between 50% and 90%. 70% is the standard.
Adherence to business hours
In the selection box Adherence to business hours you define how portatour® shall handle your customers' business hours.
The selection Start of call ensures that the beginning of the customer call is scheduled within the customer's business hours. However, the call itself can last beyond the business hours.
With the selection Entire call portatour® ensures that the entire call is scheduled within the customer's business hours. Please note that this setting generally reduces the time available for customer calls and thus reduces the number of scheduled calls. Especially lunch breaks of customers have a very limiting effect.
In the Appointment leeway you can determine whether appointments in your portatour® calendar should be scheduled exactly according to the appointment time (i.e. zero leeway) by default, or whether you provide portatour® with an appointment leeway for the purpose of flexibility and sales-route optimization, e.g. 30 minutes leeway. To do so, select a given value in the drop-down menu or enter a duration in minutes by selecting Custom....
Changing this setting only affects newly created appointments from this point onwards and can additionally be re-adjusted after each newly created appointment – see section Edit appointment. This setting does not impact appointments that have already been created.
