A click on Application shows you a preview of customer moves. Here, you can export the optimization result and use it directly in portatour®.
Preview
The preview shows you for each user which customers should be transferred to which target user.
Preview as table
The preview table shows all those customers that are handed off or taken over by the selected user. The customer name, customer address and the respective source or target user are displayed for each customer.
Switch between the individual field reps in the selection menu User.
Preview on the map
In the selection menu, click on Table and select Map to get an overview of the changes to customer assignments for the respective territory on the map.
Click on the legend icon at the bottom right to open the legend. The number of customers per category is displayed. The colors mean:
Green customers are taken over by the selected user from other users. | |
Gray customers remain with the current user. | |
Red customers are handed over to other users. |
Click on a customer to see the customer name and their source and target user:
Click on a customer to open the customer detail page in the respective portatour® user account.
Apply result
Once you have checked the optimization result in the preview, click on Apply result at the top for its application. You have the option of exporting the result or carrying out the implementation directly in portatour®.
Export optimization result
If you use an ERP or CRM system as a data source system, export the optimization result and make the changes in your system:
- Click on Export. A pop-up window opens.
- Select the Data that you want to export:
- All customers: All customers of the territories contained in the territory optimization are exported.
- Customers included in the result: Excluded customers and customers that were only created after the optimization in portatour® are not exported.
- Only customers to change: Like ' Customers included in the result', but restricted to those customers that have either been assigned to another territory or for whom values have changed. This only applies to values that are to be fixed according to the customer data adjustment options (see Customer data adjustment).
- Go to Format and select the desired Excel or CSV format for the download.
- Click on Download.
- Import the data into your ERP/CRM system.
If you also also use the portatour® route planning, update the customer assignment via an update import (see Update customers) or via the portatour® API.
Apply optimization result directly in portatour®
If you would like to use the optimization result or the final result directly in portatour® without going through a data source system, proceed as follows:
- If required, change the settings of the Customer data adjustment (see Customer data adjustment). To do this, click on the pencil symbol.
- If required, change the Transfer settings. To do this, click on the pencil icon. We recommend moving all associated appointments, tasks, call reports and call blocks to ensure a seamless change of customer service.
- Click on Apply result... A pop-up window will show you the upcoming moves.
- Click on Apply and confirm again by clicking on Apply.
Notes:
- Note that if you apply the result in portatour®, the result will immediately affect all users. Warn your field force in advance and possibly run the application outside of their working hours.
- Even if you apply the territory optimization directly in portatour®, we recommend to export the results first in order to be able to import them into your ERP/CRM system.
- When applying the territory optimization in portatour®, a company-wide restore point is created. Jump back to this if necessary (see Restore).
